Terms of service.
Welcome to Refine Films. These Terms and Conditions outline the basis upon which we provide our video production services to you. By engaging our services, you agree to the following:
1. Definitions
“We”, “Us”, or “Refine Films” refers to Refine Films, operated by Rob Wilson and Kieran Beauchamp.
“You” or “Client” refers to the individual or organisation engaging Refine Films for services.
2. Scope of Work
A written proposal or estimate will outline the scope of each project, including deliverables, timelines, and costs. Any changes to the agreed scope may be subject to additional charges.
3. Fees & Payment
A 50% deposit is required to confirm a booking, with the remaining balance due within 14 days of final delivery.
All prices exclude VAT unless otherwise stated.
Late payments may incur interest and administration fees under the Late Payment of Commercial Debts (Interest) Act 1998.
4. Cancellations & Postponements
If you cancel a confirmed project:
• More than 14 days before the shoot: full refund of deposit
• 7–14 days before: 50% of deposit retained
• Less than 7 days: full deposit retained
Postponements will be accommodated where possible, but may incur additional costs, especially if crew or location fees have been committed.
5. Revisions
Unless stated otherwise in the proposal, the fee includes one round of revisions. Further revisions may be billed at an hourly or daily rate.
6. Copyright & Usage
All intellectual property rights remain with Refine Films until full payment is received.
Upon full payment, you are granted a non-exclusive licence to use the delivered content for agreed purposes.
Refine Films retains the right to showcase work in our portfolio, website, and promotional materials unless otherwise agreed in writing.
7. Client Responsibilities
You are responsible for securing any permissions, licenses, or location access required for filming unless explicitly arranged by us.
8. Liability
We take great care with every production, but are not liable for any indirect or consequential losses. Our liability in all cases is limited to the amount paid for our services.
9. Confidentiality
Any sensitive information shared with us in the course of a project will be treated confidentially. We will not disclose or reuse any material unless given written consent, or unless it’s already in the public domain.
10. Force Majeure
We are not liable for delays or non-performance due to circumstances beyond our control (e.g. natural disasters, illness, travel disruption).
11. Governing Law
These terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales.
